Applicant privacy notice

This notice explains how we use your information when you apply for a role with us.

Who we are

Wrotham Partners, London, is the data controller for your application. You can contact us about your information at contact@wrothampartners.com.

What we collect

We do not ask for your age or date of birth. Please do not include health information, religious or political beliefs or other sensitive details in your CV or answers unless you want us to know them.

How we use it

We use your information to assess your application, to contact you about it, to arrange any further interviews and, if we make you an offer, to set up your role. If we make you an offer, we will ask to see documents confirming your right to work in the UK. Our lawful basis is our legitimate interest in recruiting suitable people, and the steps needed before entering into a contract with you at your request.

Screening

When you submit your details, our system checks some of your answers against the minimum requirements for the role. For the Off-cycle Analyst role these cover your level of education, your university, when you finished or expect to finish your degree, and your previous work experience. Applications that do not appear to meet these requirements are flagged. Flagged applications may receive a delayed rejection email. Members of our recruitment team can review a flagged application and stop or override the rejection before it is sent. You can ask for a person to review your application. If you think we have reached the wrong decision, email contact@wrothampartners.com and someone who was not involved will look at it again. We do not use facial analysis, voice analysis or artificial intelligence to assess your video answers. They are watched by people.

Who sees it

Your application is seen only by the members of the Wrotham team involved in recruitment. When an application is flagged, a short alert is posted to a private internal channel. It shows your first name, last initial, university, graduation year and the reason for the flag. It never includes your contact details, CV or videos. The following providers process your information on our behalf:

We do not sell your information or share it with anyone for their own purposes.

Where it is held

Some of our providers operate outside the United Kingdom, including in the United States. Where your information is transferred outside the UK, we rely on the safeguards those providers have in place, such as the UK International Data Transfer Addendum or an adequacy decision.

How long we keep it

Applications marked as not progressing are deleted once the latest recorded status change is more than 6 months old, using the submission or creation date if no status change is recorded. We delete your details, CV and recordings, keeping only an application identifier, deletion date and reason in a deletion log. If you start but do not submit an application, we delete it after 30 days. If you join us, your application becomes part of your staff record. We will not keep your details for future roles unless you ask us to.

Your rights

You have the right to ask for a copy of the information we hold about you, and to have it corrected, deleted or restricted. You can also object to how we use it, ask for it in a portable format, and ask for a person to review any decision about your application. To use any of these rights, email contact@wrothampartners.com. We will respond within one month. If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
